At our last meeting we passed around a copy of our tentative Event
Attendance Policy, which we put together to help protect the officers
and the members of the club if something bad should happen. I have
included the document below. Please look it over and send any comments
or suggestions to me.

On February 1st (about ten days from now), I'll email an updated
document that takes into account everybody's concerns. If nothing needs
to change, I'll consider the document "approved" by the membership. At
that point we'll post this stuff on our website and start enforcing it.

The document has two parts. The first is the Event Attendance Policy
itself. The second is an example permission slip. The permission slip
starts with a description of the event, which will need to be modified
for a given event. The rest of it is intended to be used as-is for all
events.

Docking Bay 516 Event Attendance Policy

DB516 is a fan club for all ages. In order to help members enjoy our
events safely and to protect the club from any unfortunate incidents,
we have set forth these policies. We are taking special care to protect
our younger members. Parents are encouraged to get involved.

Members under age 13 must be accompanied by a legal guardian over age
18. The guardian must be present at the event at all times.

Members under age 18 must present a signed permission slip for a given
event in order to participate without a guardian present.

Alcoholic beverages may be present at some club events. While no
alcohol will ever be served to a minor by the group, meetings sometimes
take place in venues where alcohol is served. Adult members of legal
age may be drinking alcohol during such events. Any event that may
include alcohol will be clearly described as such in advance.

Permission to attend Docking Bay 516 Meetings

DB516 meetings are regularly held at the Broadway Mall food court or a
similar busy, public location. Members convene to discuss club business
and topics of general interest. Members will often eat lunch during or
after the meeting. Alcohol is normally not present at these meetings.


Being the parent/guardian of ________________________ and having read
the DB516 Event Attendance Policy, I hereby agree to his/her
participation in this DB516 event and declare as follows:

I understand that the minor participates in DB516 events at his/her
risk and without liability on the part of DB516.

I understand that it is my responsibility to arrange safe
transportation to and from DB516 club events for the minor.

I am satisfied that if I am not present, the minor is sufficiently
responsible and experienced to assume full and entire responsibility
for his/her own safety during DB516 club events and to remove
himself/herself from any situations in which he/she feels
uncomfortable.
